Terms and conditions

These terms explain the work we provide and how to book it. Your quotation or online booking summary sets out your particular service, fee, deposit and turnaround. Keep a copy with these terms.

Who you are booking with

Hemcalcs is the trading name of Ian Kay, 4 Grange Avenue, Warrington, WA4 1PN. Email [email protected] with questions about a quotation, booking or these terms.

Your service and quotation

We provide SAP calculations, Area Weighted U-value checks and individual U-value calculations for projects across the UK. Your quote lists what is included. Design SAP and As Built SAP are separate stages, with separate deliverables and fees unless your quote expressly includes both. Air tightness testing is not included.

A quotation is available until the expiry date shown. You can accept an available option online. Your booking is confirmed when the required booking payment clears, or when we confirm an agreed booking with no deposit. Possible follow-up services are separate: they are only booked when you choose to proceed with them.

If a quote offers an Area Weighted fee as a credit against a subsequent SAP assessment, the credit applies to the specified earlier work once it has been paid for. It reduces that SAP fee and is not a cash refund. The quotation shows both fees and the credit.

Fees and payment

Prices are in pounds sterling. Your quote or booking summary shows the total payable, including any applicable tax. Payment for all services is normally due in full when booking. A different deposit or payment arrangement shown on your quote takes precedence.

The deposit is part of the agreed fee. It is not automatically forfeited if you cancel. We account for work carried out and any refund due under the cancellation terms below. Final reports, certificates and EPC lodgements are released once the agreed fee has been paid in full.

Turnaround and the information we need

The turnaround shown on your quote or booking is in working days, excluding weekends and bank holidays in England. It starts when we have the complete drawings and specification needed for the assessment and any agreed booking payment. If information is missing or your design changes, we will explain the effect on timing.

Please provide accurate drawings and construction details, tell us about changes, and make sure you have permission to share the files and personal information you supply. Our assessment relates to the design and specification supplied; the construction on site must reflect the final agreed specification.

Changes and additional work

The agreed fee covers the listed work. If you need extra assessments, a different stage, additional dwellings or substantial reworking after a design change, we will explain any additional fee and obtain your agreement before doing that work. Updating our standard prices does not change an accepted quotation.

Cancelling or postponing

Contact [email protected] to cancel or postpone. If work has not started, we will refund payments made for that work. If it has started, the amount due will reflect the work properly carried out, up to the agreed fee. We will explain that amount and refund any overpayment. A pause does not erase fees for completed work; we will agree revised timing with you.

If you are a consumer booking online or by email, you normally have 14 days from entering the service contract to cancel without giving a reason. You can tell us by email or use this wording: “I wish to cancel my contract for [service], booked on [date]. My name is [name] and my address is [address].” You do not have to use that wording.

You can expressly ask us to start within those 14 days. If you then cancel, you may have to pay a proportionate amount for work provided before cancellation. Your cancellation right ends after the service has been fully performed only if you expressly requested the early start and acknowledged that consequence. Without an early start request, we will wait until the cancellation period has ended before starting consumer work.

Online calculator reports

The Area Weighted U-value calculator is for the rectangular and square extensions and roof arrangements supported by the tool. It follows the England Part L comparison described on the calculator. You can calculate and view the result free of charge. The fee shown at checkout buys the detailed PDF report for the confirmed project address.

This is an automated comparison using the measurements, opening details and individual element U-values you enter. It does not include an independent review of your plans, verification of those inputs or calculation of the individual U-values. Check your inputs against the drawings, product specifications and proposed construction before purchasing. Individual U-values should follow BRE BR 443 conventions and the relevant calculation standards.

Your purchased report records the address and inputs confirmed at checkout. Changing the free calculation afterwards does not change that PDF or transfer it to another property. Changes to the design or specification may change the result. Contact us if you need a correction to a purchased report.

A pass confirms the Area Weighted comparison only, not compliance with every Building Regulations requirement. Submit the report to building control and obtain approval before building work commences or materials are ordered.

After confirmed payment, your report is made available to open and download, emailed to your purchase email address and saved in your client portal. Your invoice and the terms accepted for that purchase are also available through the portal.

Before immediate generation and delivery, we ask for your express agreement and acknowledgement that your 14 day cancellation right ends once the digital report is supplied. This does not remove your rights if the report is faulty or does not match its description. If you believe there is an error in our calculation or report, contact [email protected] so we can investigate and provide the remedy you are entitled to.

Reports and professional care

We carry out the agreed service with reasonable care and skill. Calculations model the information supplied and do not guarantee actual energy bills or replace building control approval. You can share paid reports with your project team and building control for the project they were prepared for.

If you think we have made an error, contact us with the booking reference so we can investigate and put matters right where required. These terms do not remove your statutory consumer rights or exclude liability for fraud, death or personal injury caused by negligence, or anything else that cannot lawfully be excluded.

Privacy, complaints and changes to these terms

Our privacy policy explains how we use contact details, project documents and payment records. Send complaints to [email protected] and we will investigate them.

The terms saved with your accepted quote or booking apply to that work. Later website updates do not retrospectively change your contract. English law applies, without taking away a consumer’s mandatory protections or rights to bring proceedings in their home jurisdiction where applicable.
